Information on the processing of personal data

We use your personal data only to the extent necessary to receive and process your registration, organise the conference, provide the requested services and meet the related legal obligations.

Personal data we process
We process the information you enter in the online registration form, in particular:
- your name, academic titles, organisation and contact details,
- address and billing information,
- the selected form of participation and details of your paper or poster,
- accommodation requests and standard dietary preferences,
- any additional information that you voluntarily include in the notes.
Purposes and legal bases
- Registration and organisation of participation: steps prior to entering into a contract and performance of a contract under Article 6(1)(b) GDPR.
- Invoicing and accounting: compliance with legal obligations under Article 6(1)(c) GDPR.
- Protection of rights and secure form operation: the controller’s legitimate interest under Article 6(1)(f) GDPR.
We will not use the data for marketing communications without a separate legal basis.
Required and optional information
Fields marked with an asterisk are required in order to receive and process the registration. The registration cannot be completed without them. All other information is provided voluntarily according to the services and form of participation selected.
Recipients of personal data
Access is limited to authorised members of the organising team and service providers necessary for the event, in particular accounting providers, the accommodation venue and technical providers operating the website and database. The programme or proceedings may contain information about authors, their organisations and submitted papers.
Technical services may involve processing outside the European Economic Area. In such cases, transfers are based on an appropriate GDPR mechanism and safeguards, in particular standard contractual clauses.
Retention period
Data needed to organise the conference will be retained no longer than 31 December 2027 and will then be deleted or anonymised. Information contained in accounting and tax documents is retained for the period required by law, generally ten years. Published information about authors and papers may remain part of the conference proceedings.
Your rights
You have the right to request access to, correction or erasure of your personal data, restriction of processing and, where applicable, data portability. You may object to processing based on legitimate interests.
Requests may be sent to vrstvyapovlaky@liss.cz. If you believe that your data is being processed unlawfully, you have the right to lodge a complaint with the Office for Personal Data Protection.
Automated decision-making and cookies
We do not use automated decision-making or profiling when processing registrations. The website currently uses no marketing or analytics cookies; technically necessary components may be used solely for secure website operation and administration.
